We’re looking for a Junior Product Specialist to help clients get the most value from their collections management (CMS) and digital asset management (DAMS) solutions.
About the role
As a Junior Product Specialist, you'll assist GLAM institutions through cataloguing work, uploading digital assets, responding to client inquiries, and supporting implementation projects. In this remote role, you’ll receive the opportunity to help with data migration, develop governance documentation, and provide training and user support to clients.
Applicants must be comfortable with up to 25% travel in North America to collaborate with clients in-person, participate in training sessions, and offer on-site assistance.
Job responsibilities
Collections management
Collaborate with clients to accurately catalogue collections in the Terentia CMS
Create, edit, and manage client records that adhere to industry standards (ex. MARC, Dublin Core, or CIDOC-CRM) and their specified metadata
Standardize and normalize data structures, including identifying and resolving inconsistencies in CMS records
Digital asset management
Support clients in uploading, organizing, and managing digital assets in the Terentia DAMS
Ensure assets are properly linked to metadata for optimal search, retrieval, and management
Perform quality checks to verify uploaded assets meet resolution, format, and accessibility standards
Assist with setting up workflows for ingestion, storage, and sharing that align with clients’ internal policies and governance
Implement and maintain taxonomies, controlled vocabularies, and file-naming conventions
Advise clients on rights management and licensing in compliance with copyright laws and institutional policies
Project implementation
Configure client systems and demo environments to meet specific project needs
Develop governance documents with clear policies and practices
Assist in mapping client data from legacy systems to the Terentia platform, preparing data migration instructions to support this process
Perform QA testing to identify issues, validate platform functionality, and streamline workflows
Collaborate in the creation and maintenance of client-specific training manuals
Provide training sessions and address support questions as needed
Client support
Respond to client inquiries regarding their data and provide clear and effective solutions
Troubleshoot issues related to platform use, data entry, and reporting, escalating more complex issues to senior team members when necessary
Must-haves
Bachelor’s degree in Museum Studies, Information Science, Library Science, or a related field
Experience with Collections Management Systems and DAMS is highly desirable
Strong organizational skills with keen attention to detail
Excellent communication, interpersonal skills, and ability to collaborate
Ability to travel up to 25% of the time within North America
Nice-to-haves
Proficiency in data management and familiarity with data mapping processes
Familiarity with metadata standards (MARC, Dublin Core, or similar)
Experience in developing training materials and conducting training sessions
